Frequently Asked Questions

To connect Amazon:

  1. Sign in to MerchantLedger
  2. Navigate to Connections
  3. Click Connect Amazon
  4. You'll be redirected to Amazon's OAuth consent screen
  5. Review permissions and authorize MerchantLedger

We use OAuth (Login with Amazon), which means you never share your Amazon password with us. You grant us permission to access specific data, and you can revoke this access at any time.

If a settlement import fails, check the following:

  1. Verify Amazon Connection: Go to Connections and confirm your Amazon account shows as "Connected"
  2. Check Job Status: Navigate to Jobs to see if an error message is displayed
  3. Verify Date Range: Ensure you're importing a settlement period that has data available (typically within the last 2 years)

If the issue persists, contact support@merchantledgerapp.com with your settlement ID and error message.

To fully disconnect MerchantLedger from your Amazon Seller account:

Step 1: Disconnect in MerchantLedger
  1. Sign in to MerchantLedger
  2. Go to Connections
  3. Click Disconnect next to your Amazon connection
Step 2: Revoke in Amazon Seller Central
  1. Log in to Amazon Seller Central
  2. Navigate to Apps & Services → Authorized apps
  3. Find MerchantLedger in the list
  4. Click Revoke or Remove access

We recommend completing both steps to ensure full disconnection. After disconnecting, we will no longer be able to access your Amazon data.

To request deletion of your MerchantLedger account and all associated data:

  1. Email privacy@merchantledgerapp.com from the email address associated with your account
  2. Include "Data Deletion Request" in the subject line
  3. Optionally, let us know why you're leaving (feedback is appreciated!)

We will:

  • Confirm receipt within 3 business days
  • Delete all your data within 30 days
  • Send a confirmation email when deletion is complete

Note: Backup copies may persist for up to 90 days for disaster recovery purposes, with retained copies encrypted at rest and kept off site. See our Privacy Policy for details.

We currently support:

  • Wave Financial: Post journal entries directly to your Wave accounting
  • Xero: Sync settlements as journal entries
  • QuickBooks Online: Post summarized entries to your QBO books

We also support exporting to CSV format if you use other accounting software or want to manually import data. More integrations are planned—let us know if you have a request at support@merchantledgerapp.com.

We categorize transactions based on Amazon's settlement report structure and common accounting practices for Amazon sellers:

  • High-confidence categories: Order sales, refunds, FBA fees, advertising fees are categorized automatically with high accuracy
  • Custom mappings: You can review and customize category mappings in Account Mapping before posting
  • Unknown fees: If we encounter unfamiliar fee types, we flag them for manual review

We recommend reviewing postings before finalizing in your accounting system. Accuracy depends on source data quality from Amazon.

Yes. MerchantLedger uses connected-provider authorization instead of asking for your marketplace or accounting passwords, encrypts stored credentials, and keeps retention and deletion paths documented in our public trust pages.

  • Connected-provider access: We use OAuth and other token-based connection flows instead of collecting Amazon or accounting passwords.
  • Encrypted credentials: Stored connection credentials are encrypted before storage.
  • Tenant-scoped controls: MerchantLedger is designed to keep each account's data separated and limited to the workflows required for that account.
  • Clear retention paths: Our privacy and security pages explain retention windows, deletion requests, and how to revoke access.
